This Privacy Policy explains how Hyrev LLC, operating as "Hyrev" ("we", "us"), handles personal information collected through our website at hyrev.ai (the "Site") and through the Hyrev app at studio.hyrev.ai (the "Platform").

Hyrev is an AI appointment setter for online coaches. A coach connects their Instagram account and calendar, and Hyrev replies to the people who message them on Instagram in the coach's own voice and books qualified sales calls onto their calendar.

Who this policy covers

• Website visitors: people who browse the Site or join our waitlist.
• Coaches: the businesses that sign up to Hyrev, and the team members and closers they invite to their account.
• Leads: people who message or comment on a coach's Instagram account, or book a call through a coach's Hyrev booking page.

For website visitors and coaches, Hyrev decides how personal information is used (we are the "controller"). For leads, the coach decides how their conversations are handled, and Hyrev processes that information on the coach's behalf and on their instructions (we are a "processor"). If you are a lead, you can contact the coach you messaged or write to us directly at admin@hyrev.ai.

Information we collect

Website visitors

When you join our waitlist, we collect your first name, email address and website. Our hosting provider may automatically record standard technical logs (such as IP address, browser type and pages visited) for security and performance purposes.

Coaches and their team

• Account details: name, email address and sign-in details for you and each person you invite.
• Business details: your business name, offer, pricing, booking questions, availability and the closers who take your calls.
• Billing details: your plan, top-ups and invoices. Card payments are handled by Stripe; we never see or store your full card number.
• Instagram account: when you connect Instagram, we receive your account's username and profile details, the messages in your inbox and comments on your posts (see "Instagram data" below).
• Setter material: the material you give us so your setter sounds like you, such as DM screenshots, sales call recordings or transcripts, your website address and your Instagram bio. If you choose to, you can also let us read your existing Instagram conversations for the same purpose (see "Instagram data"). Call recordings and screenshots can contain other people's information, so please only upload material you are entitled to share.
• Google Calendar: if you or your closers connect Google Calendar, the information described under "Google user data" below.
• Usage information: technical logs and records of actions taken in your account (for example, who changed a setting and when), kept for security, support and audit.

Leads

When someone messages a coach who uses Hyrev, we process:

• their Instagram username and display name;
• the messages and comments they send, and the replies sent to them. Voice notes are transcribed to text, and images are read by our AI provider so the setter can reply;
• if they book a call, the details they enter on the booking page (such as name, email address, phone number and answers to the coach's questions), the call time and their time zone;
• notes and conversation stages the coach or the setter records, and short summaries of the conversation written for the person taking the call.

Google user data

If you connect a Google Calendar to Hyrev, we ask Google for permission to:

• see your email address, so we can show which Google account is connected;
• see, create, change and delete events on calendars you own, so we can check when you are busy and add booked calls;
• see your free/busy information, so we can check a time is still free at the moment a lead books it.

We use this access only to provide booking features you can see in the Platform:

• Checking when you are busy. We request only the start and end times of events on your primary calendar, never their titles, descriptions, locations or guests. We store those start and end times with Google's event ID, and use them only to avoid offering a lead a call time when you or your closer are already busy.
• Adding booked calls. When a lead books a call, we create an event on the closer's calendar with a Google Meet link and the lead's booking details, and add the lead as a guest. We send the lead the Meet link in their booking confirmation by email and Instagram message. If the call is rescheduled or cancelled, we remove the event and, for a reschedule, create a new one. We store the event ID and Meet link with the booking.
• Showing the connection. We store the email address of the connected Google account.

We do not use Google user data for advertising, we do not sell it, and we do not use it to create, train or improve AI or machine-learning models. Google user data is not sent to our AI providers. We do not transfer it to anyone except as needed to provide the features above, to comply with the law, or as part of a merger, acquisition or sale of our business, and in that last case only after getting your explicit consent first. Our staff do not read your Google user data except with your permission, for security purposes, or where the law requires it.

Hyrev's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We store your Google access token encrypted. You can disconnect a calendar at any time in Settings → Calendar in the Platform, or remove Hyrev's access from your Google account at myaccount.google.com/permissions. Either way, we delete the stored token, the connected email address and the busy times we copied from that calendar, and when you disconnect in the Platform we also revoke our access with Google. Calendar events we already created for booked calls stay on your calendar unless you delete them.

Before we use Google user data in a new way, we will ask for your consent.

Instagram data

Hyrev connects to a coach's Instagram professional account through Meta's platform, using our integration provider Zernio. With that connection we receive the messages sent to the coach's account and the comments on the coach's posts, send replies on the coach's behalf, and reply to comments where the coach has set up keyword automations. We also keep a copy of each lead's Instagram profile photo, where Instagram provides one, so the coach can recognise the lead in their Hyrev inbox. We refresh it about once a week and delete it along with the lead's conversations.

During setup, a coach can choose to let us read their existing Instagram conversations so the setter learns their voice. We only do this after the coach agrees on screen, and the coach can untick any conversation before it is read. In the copy we keep, each lead's name and handle are replaced with placeholders and images are not stored. That copy is deleted once the setter is built, or if the coach disconnects Instagram.

How we use AI

Hyrev uses AI models to write replies in the coach's voice, to understand messages (including reading images and transcribing voice notes), to decide when a conversation should go to a human, to summarise a conversation for the person taking a booked call, and to build each coach's setter from their setter material. To do this, the relevant messages and material are sent to our AI providers, Anthropic (replies, image reading, summaries and setter building) and OpenAI (voice-note transcription), which process them on our behalf to return a result.

The setter can hand a conversation to the coach at any time, and the coach can take over or pause the setter for any lead.

How we use information

We use personal information to:

• provide the Platform: reply to leads, book and manage calls, run follow-ups and automations, and show coaches their inbox and results;
• build and improve each coach's setter, including review by our team when a coach asks for help or when we check quality;
• take payments, send invoices and manage subscriptions;
• send service emails, such as sign-in links, booking confirmations and billing notices, and support coaches in their support chat;
• keep the Platform secure, prevent abuse and fix problems;
• tell waitlist members when Hyrev is available;
• comply with legal obligations.

We do not sell personal information, and we do not use leads' conversations for advertising.

Legal bases (UK and EEA)

Where UK or EU data protection law applies, we rely on: performance of our contract with coaches; our legitimate interests in running, securing and improving the Site and Platform; compliance with legal obligations; and consent where we ask for it (for example, before reading a coach's existing Instagram conversations). For leads, the coach is responsible for the legal basis for handling their conversations.

Who we share information with

We share personal information only with service providers that help us run Hyrev, under contracts that limit their use of it to providing their service to us, and where the law requires it.

A coach's team members and closers can see the conversations and bookings in that coach's account, and booked call details are shared with the closer taking the call. If a coach connects their own tools to Hyrev (for example, a webhook to their CRM), we send the data they choose to those tools on their instructions.

If Hyrev is involved in a merger, acquisition or sale of assets, personal information may be transferred as part of it. We will tell affected coaches first, and Google user data is only transferred with your explicit consent, as described above.

International transfers

Hyrev LLC is based in the United States, and several of our providers process data in the United States and other countries. Where UK or EU law requires it, we rely on appropriate safeguards for these transfers, such as the standard contractual clauses.

How long we keep information

• Coach accounts, conversations, comments and bookings: for as long as the coach's account is open. When a coach closes their account, we delete their account data, including their leads' conversations and their setter material, within 30 days, except records we must keep for tax, accounting or legal reasons.
• Imported Instagram conversations: deleted once the setter is built, or when Instagram is disconnected.
• Google Calendar data: deleted when the calendar is disconnected or the account is closed.
• Waitlist sign-ups: until Hyrev launches to you or you ask us to remove you.
• Account activity records: for as long as the account is open, for security, support and audit.

Deleting your data

Your rights

You may request access to, correction of or deletion of your personal information at any time by emailing admin@hyrev.ai. If you are in the European Economic Area or the United Kingdom, you also have the rights provided by the GDPR, including the right to object to processing, to restrict it, to receive your data in a portable format, to withdraw consent where we rely on it, and to lodge a complaint with your supervisory authority (in the UK, the Information Commissioner's Office).

Security

We protect personal information with access controls that keep each coach's data separate from every other coach's, encryption in transit, encryption of stored access tokens, and records of sensitive actions. No system is perfectly secure, but we work to protect your information and will tell affected users and regulators about a breach where the law requires it.

Cookies

We do not set cookies of our own on the Site. The embedded Loom video player may use functional cookies operated by Loom. On the Platform we use only the cookies needed to keep you signed in, and your browser's storage to remember display preferences. We do not use advertising cookies.

Children

The Site and Platform are not directed at children under 16, and we do not knowingly collect their information.

Changes

We may update this policy from time to time. The latest version will always be available on this page, with the date it was last updated. If we make a significant change to how we use coaches' data, we will tell coaches by email before it takes effect, and we will ask for consent before using Google user data in a new way.
